Travel Guidance

All ASRS Annual Meeting attendees and participants are responsible for acquiring the necessary travel documents to enter Canada. In certain cases, an eTA (Electronic Travel Authorization) or visa may be required.

If a visa is required, it is highly recommended that you start the process early (i.e. minimum 4-6 months prior to the conference) to ensure the IRCC has enough time to process your visa application. We also recommend you use the services of an official VAC (Visa Application Center). Click here to find the VAC nearest to your location. VAC’s are private companies that have formal contracts with the Government of Canada and will assist you with the entire process. After ASRS meeting registration and payment are complete, information regarding acquiring a letter of invitation will be provided in the registration confirmation email. Please note, all travel information must be provided to ASRS in order to receive a letter of invitation.

ASRS conference organizers require all registrants to make their own inquiries about their ability to enter Canada and offer no representations of the validity of the information provided. The conference organizers do not guarantee that the IRCC will issue the visa in a timely manner. The conference organizers are unable to contact or intervene with any Embassy or visa office on behalf of a Participant, and we cannot be held responsible if a Participant’s visa is not approved.
